I've received somewhere around 4,000 buyer inquiries over the past twenty years. The ones that go smoothly are almost always from buyers who came in with a clear brief and realistic expectations. The ones that drag on or go nowhere usually start with: "I want silver jewelry, what's your best price?" This guide is my attempt to set every new buyer up for the first kind of experience.
Why Indonesia? The honest answer
People ask me this a lot. Here's what I tell them.
Indonesian silversmiths, particularly in Surabaya and Yogyakarta, have been working with silver for centuries. That's not marketing language. The filigree technique that some of our craftspeople still use is the same one their grandparents used. You can't replicate that with machines.
The practical advantages are real too. MOQ that makes sense for growing businesses (not 500 pieces minimum like many Chinese factories). Full OEM and private label capability. Halal certification if you need it for Middle East markets. Nickel-free production that clears EU compliance without extra steps.
The honest disadvantage: lead times are longer than Vietnam or China for high-volume commodity runs. If you need 10,000 identical simple chains in three weeks, Indonesia is probably not your best option. For anything custom, handcrafted, or under 500 pieces per design, we compete with anyone in the world.
Before you send your first email
The buyers who get accurate quotes quickly are the ones who arrive with this information ready:
- Reference photos or sketches (a Pinterest link works fine, no CAD file needed)
- Finish preference: polished, oxidized, gold plated, rhodium, matte
- Stone requirements if any (cubic zirconia, natural gemstone, no stone)
- Rough size (ring sizes to cover, pendant width in mm)
- Quantity per design
- Whether you need private label packaging or just the jewelry
Send all of this in one message. Not "what's the price" followed by design details two emails later. Manufacturers prioritize buyers who are organized and ready to move. You'll get faster and more accurate responses.
The order process, step by step
Step 1. Inquiry and quote (48 hours)
Send your brief. A serious factory responds within 48 hours with a unit price, sample cost, and lead time. If they take a week to reply to an inquiry, that's usually how they'll handle your production updates too.
Step 2. Sample (7 to 14 days)
Before any bulk order, a sample is made of each design. You receive it and check it in hand: weight, finish quality, stone setting tightness, hallmark placement, whether the packaging fits.
Don't skip this. I've seen buyers skip samples to save two weeks and then receive 500 pieces with a problem that would've been caught immediately on the first piece. The sample cost is a fraction of what you spend fixing a bad bulk order.
Step 3. Deposit and production (3 to 6 weeks)
Standard payment is 50% deposit to start, 50% balance before shipment. Custom orders take 3 to 6 weeks depending on complexity. The factory should give you weekly updates. If they go quiet, ask. A good manufacturer won't mind the question.
Step 4. Final payment and shipment
After quality check, you pay the balance and the order ships via DHL, FedEx, or UPS with door-to-door tracking. What you should receive alongside the shipment: commercial invoice, packing list, Certificate of Origin, 925 silver certificate, and AWB tracking number.
What to check before you commit to any manufacturer
- 925 stamp on the jewelry itself, not just on the box or a certificate
- Nickel-free declaration in writing, especially if you're selling in Europe
- Video call the workshop. Legitimate manufacturers won't hesitate. Trading companies will find excuses.
- NDA for original designs. Get this signed before sharing files you've paid to develop.
- Prior export to your country. Confirm they understand the HS codes and documentation your customs requires.
